What Is a Sales Quote?
A sales quote is a document you send to customers with pricing for products they want to purchase. It's a formal offer that, when accepted, becomes the basis for an invoice.
In QuoteBuilder, sales quotes:
- Contain products with quantities and pricing
- Include customer contact and address information
- Can have discounts, shipping, and taxes applied
- Generate professional PDF documents
- Can be emailed directly to customers
The Sales Quote Lifecycle
Create → Send → Approve → Invoice → Fulfill → Complete
- Create — Build the quote with products and customer
- Send — Email the PDF to your customer
- Approve — Customer accepts the quote
- Invoice — Generate an invoice for payment
- Fulfill — Pack and ship the order (if fulfillment is enabled)
- Complete — Order delivered and paid
The Sales Dashboard
Access the Sales Dashboard from Quotes > Sales Quotes in the sidebar.
The dashboard shows:
- Statistics — Open, sent, approved quote counts
- Quote List — All your sales quotes in a table
- Tabs — Filter by status (All, Open, Sent, Approved, etc.)
Understanding Quote Statuses
| Status | Meaning | Next Action |
|---|---|---|
| Open | Draft, still editing | Send to customer |
| Sent | Emailed to customer | Wait for approval |
| Approved | Customer accepted | Create invoice |
| Invoiced | Invoice created | Collect payment |
| Fulfillment | Being packed/shipped | Mark shipped |
| Complete | Done | Archive if desired |
Quick Actions from the Dashboard
From the Sales Dashboard, you can:
- Click a quote to open and edit it
- Search for quotes by number or customer
- Filter by status using the tabs
- Create new quote using the + button
