Create a New Sales Quote

Users who need to create sales quotes for customers. This covers starting a new quote and understanding the quote editor.

What You'll Accomplish

By the end of this article, you will be able to:

  • Start a new sales quote
  • Navigate the quote editor
  • Understand required vs optional fields
  • Save quotes as drafts

Before You Start

Make sure you have:

  • The create_orders permission
  • Sales quotes enabled in your shop settings

Step 1: Start a New Quote

Option A — From the top navigation:

  1. Click the + button in the top bar
  2. Select Sales Quote

Option B — From the Sales Dashboard:

  1. Go to Quotes > Sales Quotes
  2. Click + New Sales Quote

Step 2: Understand the Quote Editor Layout

The quote editor is divided into sections:

Left Side — Customer Information

  • Customer name and company
  • Billing address
  • Shipping address
  • Contact details

Center — Cart/Products

  • Line items with products
  • Quantities and prices
  • Discounts per item

Right Side — Totals

  • Subtotal
  • Discounts
  • Shipping
  • Tax
  • Grand Total

Top — Quote Header

  • Quote number (auto-generated)
  • Date
  • Status badge
  • Action buttons (Save, Create PDF, Send)

Step 3: Quote Numbering

QuoteBuilder automatically assigns quote numbers:

  • Format: [Prefix][Number] (e.g., QB0001)
  • Numbers increment automatically
  • The prefix can be customized in Settings
Note: You typically don't need to change the quote number.

Step 4: Save as Draft

You can save a quote at any time, even incomplete:

  1. Click Save in the top right
  2. The quote saves with status Open
  3. Return later to continue editing

Required vs Optional Fields

Required:

  • At least one product in the cart

Recommended but Optional:

  • Customer (can send without, but not typical)
  • Shipping address
  • Tax rate

Optional:

  • Discounts
  • Shipping cost
  • Notes
  • Custom fields

Troubleshooting

Problem: New Quote button is missing

Cause: You don't have create_orders permission.

Solution: Contact your administrator.

Problem: Quote number looks wrong

Cause: Your prefix or numbering may need adjustment.

Solution: Check Settings > Sales for order prefix settings.

Problem: Can't save the quote

Cause: The cart may be empty.

Solution: Add at least one product before saving.
